Configuring Synchronization Options

The Synchronization Options topic on each monitored folder lets you configure the automatic registration of documents during the next synchronization of the folder.

Important: Synchronization options can be different for each folder. Synchronization options assigned at the parent folder level are automatically applied to all child folders.

Automatically register new documents added to this ProjectWise Project or Folder If on, documents that get added to the ProjectWise folder will be automatically registered as documents in AssetWise during the next synchronization of this monitored folder.

When this setting is off, AssetWise documents are not created during synchronization, however a representation of each document in the folder will still be created, so that you can see what documents exist in the folder and select which documents you want to manually register later.

Registration Mode Sets how the new documents in this folder will be registered:
  • Reference - Considered as the best practice mode for registering ProjectWise documents with AssetWise. If set, the electronic file will continue to reside in ProjectWise and will only be referenced by the new AssetWise document. The AssetWise document will have both a File topic and a ProjectWise Location topic. The File topic entry will provide the same user experience as when files are stored in AssetWise. However, when clicking Download in the File topic menu, the file will be downloaded from ProjectWise. The ProjectWise Location will point to the exact location of the document in ProjectWise Explorer. Reference mode supports attribute updates based on attribute mapping rules, as well as, orphaned AssetWise document cleanup with future synchronizations (i.e. if a registered document is deleted in ProjectWise, the corresponding AssetWise document will also get deleted as part of the sync process)..
  • Move to ALIM - If set, the document/file will be moved from ProjectWise into AssetWise.
    Note: When using Move to ALIM as the synchronization option, only the latest version of the ProjectWise document will be moved to ALIM Web. All previous versions will not be moved and will be deleted in ProjectWise.
  • Copy and Link - Similar to a reference, except that the new AssetWise document will contain a copy of the file that is attached to the ProjectWise document. You should only use this option only if it there is an uncompromising requirement to keep the physical files in both AssetWise and ProjectWise repositories. This mode offers no added usability over reference mode.
If the ProjectWise attribute [...] equals [...] Using this option (turn on the option, select an attribute, then enter an attribute value) makes it so that only documents having the specified attribute value will be automatically registered.
Document Identification Mapping This option is off by default, so that AssetWise will automatically assign values for the Number, Revision, and Title attributes of each new document, based on the values defined in the document template that is assigned to this monitored folder. If you want these AssetWise attributes to retain the values from their corresponding ProjectWise properties, then turn on Document Identification Mapping and leave these sub-options on, or turn off the sub-options for the attribute values you do not want to carry over from ProjectWise.
  • Map ALIM Document Number to ProjectWise
  • Map ALIM Document Revision to ProjectWise
  • Map ALIM Document Title to ProjectWise
Attempt to Approve the document after registration completes If on, documents that get added to the ProjectWise folder will be automatically get approved once registration completes.
Note:
  • Automatic document registration will occur when running a synchronization if the automatic registration options for a folder are changed between synchronizations
    • This means that, when a synchronization process is executed, existing documents in the document list that are registered as excluded will be registered as included documents based on automatic registration settings.

      For example, if you synchronized a folder (to create the document list) but automatic registration was turned off, then you turn on automatic registration, issue a synchronize on the folder, the existing, excluded documents in the document list will be registered as included documents based on automatic registration settings.

  • If you change the Reference Action from Reference to Move to ALIM and then re-synchronize the folder, it will not change an already registered document from a referenced document to a moved document.
  • If you turn off automatic registration, it will not unregister previously registered documents
